A talk on meeting culture and better hybrid meetings
Meetings fill the calendar, and still some things never get decided. We look at why a hybrid meeting is harder than one where everyone’s in the room, and what you can actually do about it.
About the talk
Meetings are where your culture takes shape
A hybrid meeting isn’t an in-person meeting with a few screens switched on. When half the group is in the room and the rest are dialled in, you get two meetings in the same calendar slot: one with glances across the table, body language and small talk before the start, and one where you wait for a gap in the conversation. The difference is rarely talked about, but it decides who gets heard.
We focus on the meeting: the most important habit you have together. We work from the 5 pillars of hybrid leadership, built on a Danish method we call De 5 R’er after five Danish words: Retning, Relationer, Rammer, Rytmer and Robusthed. In English: Direction, Relationships, Ways of working, Rhythms and Resilience. From there, we look at why meetings pile up, what it takes for everyone in a hybrid meeting to count equally, and how to make decisions that still hold after the meeting ends. Also read Meeting overload: how to get your focus time back and Hybrid meeting culture: five ways to reinvent your meetings. And if you want the five reasons why hybrid meetings have to work, begin with that article.

Themes
What we cover
We tailor the content to your meeting culture. These are the themes we’re asked for most often.
01
Meeting overload
Why the calendar fills up by itself once inviting people costs nothing. And how you get your focus time back without cancelling the meetings that actually work.
02
The hybrid meeting where everyone counts
What it takes for the people on screen not to end up as spectators. Cameras, airtime, tech, and the agreements that decide the rest.
03
The meeting chair as host
A hybrid meeting doesn’t run itself. The role is more like a TV host’s than a chair’s, and it can be learned.
04
Decisions that hold
Why so much gets discussed without being decided, and how you write the decision down so it outlives the meeting.
What you get
What you take home
Not a new meeting policy, but habits you can adjust yourselves from next week.
01
Fewer meetings, and better ones
Agreement on which meetings to keep and which to quietly let go.
02
A meeting format that works from every seat
Practical steps so the people on screen count as much as the people in the room.
03
A shared language
So everyone feels free to ask for an agenda or decline an invitation.
04
Agreements rather than rules
A draft of your own meeting agreements, which the team owns and can follow up on.

Choose what fits your occasion

Talk
A talk for the whole organisation or for the leadership team. We put into words what everyone can see in their calendar, and give you a handful of practical steps to use in your very next meeting.

We work with your own meetings. You map out your meetings, trim them back, and leave with a draft of your meeting agreements.
Virtual format
The same content, delivered in exactly the format it’s about. We run it in both Danish and English.

Frequently asked questions about talks on meeting culture
Yes. We can give it in your own meeting room, as a fully virtual talk, or hybrid with participants in both places. We’re well used to the hybrid format, and we’re happy to use the set-up itself as a live example.
The talk (45–90 min) gives you a shared picture of why your meetings are the way they are, and a handful of practical steps to change them. The workshop (2–4 hours) works with your own meetings, and you leave with a draft of your meeting agreements. Many choose both on the same day.
Leaders and employees alike. Everyone takes part in meetings, so it works best when the whole department hears the same thing. If the leadership team needs a version closer to their own role, we adapt the content.
Not for the talk. For the workshop, we usually ask to see your calendar: which regular meetings you have, how long they are and who attends. It takes a quarter of an hour to pull together and makes the day far more concrete.
